Terms and Conditions
- Under the BusRoute platform, all bookings with Bus Hire UK are subject to these Terms & Conditions. A booking is considered finalised and binding upon receiving verbal or written confirmation and the required deposit from the client, if applicable. At this point, the deposit is non-refundable.
- In these conditions, “Bus Hire UK” refers to “bushireUK.co.UK”
- BusRoute-operated Bus Hire UK, including any related agents, employees, or subsidiaries, is not responsible for any losses incurred by customers or passengers due to accidents or road traffic delays. The responsibility for such incidents lies with the group leader, passengers, and the contractor (driver). Passengers are advised to remain seated while the vehicle is in motion.
- BusRoute does not provide, nor is anyone authorised to provide on its behalf, any explicit or implied warranty or representation regarding any bookings.
- BusRoute is allowed:
- We reserve the right to cancel, suspend, modify, or withdraw any booked travel, transport, accommodation, or related services if fulfilling the journey becomes impossible for any reason. In such instances, and only in such cases, a full refund will be provided for any cancelled, suspended, or withdrawn service. Rest assured, we will notify you promptly of any changes to your travel plans.
If fulfilling your travel arrangements becomes impossible, we reserve the right to cancel, suspend, modify, or withdraw any booked travel, transportation, accommodation, or related services. Should this occur, you will receive a full refund for the affected services. We are committed to promptly informing you of any changes to your travel plans.
Cancellations or refunds may arise from vehicle breakdowns, driver unavailability, or other unforeseen circumstances. We will strive to arrange alternatives, but we are not liable for any extra costs from last-minute solutions, whether arranged by us or you.
(b) To refuse transportation, accommodation, or request the removal of any individual or to arrange alternatives without providing an explanation.
- Transaction fees will be based on the current prices at the time of use. However, if there are fluctuations in exchange rates or fares, these fees may change without prior notice.
- For Bus Hire UK, any damage to the vehicle or its fittings caused by party members, whether intentional or negligent, falls under the Hirer’s responsibility. The Hirer must cover repair costs for such damage, including any related losses or downtime resulting directly from the incident. Bus Hire UK or the contracted company may seek reimbursement from the client for any expenses incurred due to their conduct, such as vehicle diversions. If necessary, Bus Hire UK or its contractor may initiate criminal proceedings against the client. As a booking agent, Bus Hire UK is not liable for any damage costs incurred by passengers. The Hirer fully assumes responsibility for any charges, criminal damages, or compensation directly with the contractor (driver), unless otherwise agreed in writing by Bus Hire UK and the contractor. Nonetheless, Bus Hire UK will cooperate with all parties involved to facilitate resolution and may request photographic evidence to support claims.
- Bus Hire UK will arrange the journey route unless the Hirer makes a specific request, upon which the quotation will be based. If the Hirer later agrees with Bus Hire UK or the driver to alter the route, and this results in additional mileage or time beyond the original plan, the Hirer will be responsible for covering the extra costs incurred.
- All hire arrangements depend on the availability of a suitable vehicle at the requested date and time. Bus Hire UK cannot be held liable if a vehicle is unavailable, even after a quote has been provided. A quote does not ensure vehicle availability. Bus Hire UK reserves the right to refund and cancel a booking if it cannot be fulfilled.
- Unless mutually agreed otherwise, a non-refundable deposit of 40% of the hire charge is required at booking to secure your reservation. If we cannot fulfil your journey request, the deposit will be refunded.
- Once a booking is confirmed and the deposit is received, it becomes non-refundable. If you cancel more than 14 days before the journey, a 40% cancellation fee will be applied to the total payment. For cancellations made 7-14 days prior to the journey, a fee of 50% of the booking cost will be charged.
- For cancellations made between 48 hours and 7 days before the journey, a fee of 75% of the booking cost will be due.
- If a booking is cancelled less than 48 hours before the journey, the full cost will be due. Once a client boards any of our vehicles, the drivers are authorised to take them to and from their destination. Upon boarding the vehicle, Bus Hire UK considers the contract fulfilled, and refunds cannot be issued for these bookings.
- If the cancelled booking includes additional services, such as meals, accommodation, ferry charges, etc., and the providers charge cancellation fees, these will be passed on to the hirer in addition to the listed cancellation fee.
(PLEASE NOTE: WE CANNOT OFFER SPECIAL RATES OR CONCESSIONS FOR CANCELLATIONS DUE TO CORONAVIRUS, OTHER ILLNESSES, OR GLOBAL PANDEMICS. ONLY BOOK YOUR TRANSFERS IF YOU ARE CERTAIN ABOUT TRAVELING. WE WILL ONLY ACCEPT JOBS THAT WE CAN MANAGE.
CHARGES WILL APPLY FOR ANY TRANSFER REARRANGEMENTS. IF NOTIFIED OVER 14 DAYS PRIOR, A 15% CHARGE WILL INCUR. BETWEEN 7-14 DAYS, IT’S 30%. LESS THAN 7 DAYS AND 48 HOURS WILL INCUR A 40% CHARGE, AND UNDER 48 HOURS WILL BE NON-REFUNDABLE, REQUIRING A NEW BOOKING.
ALTHOUGH THE PANDEMIC HAS EASED, WE STILL RECOMMEND ALL CLIENTS TO FOLLOW CURRENT LEGISLATION REGARDING SOCIAL DISTANCING AND WEARING MASKS. WE WILL NOT BE LIABLE FOR ANY FINES INCURRED DURING YOUR TRAVEL.
VEHICLE REQUIREMENT
All vehicles do not require, therefore, safety screens between driver and passengers.
PASSENGER ADVICE
We advise our passengers to take the following precautions when travelling with us in relation to COVID-19. Our advice is based on the latest UK Government COVID-19 guidance for the transport sector.
We advise you not to travel with us if you are feeling unwell or are exhibiting symptoms of coronavirus (COVID-19)
While not mandated by law, wearing a face covering is recommended. Our drivers are instructed to sanitise all frequently touched surfaces in their vehicles between trips. However, with the driver’s consent, you may use your own disinfectant wipes for added peace of mind.
Use tissues to catch coughs and sneezes, and dispose of them safely after exiting the vehicle.
Maintain social distancing as much as possible, not shaking hands with the driver or sitting next to them. “Use hand sanitiser when appropriate, and avoid touching your face”.
DRIVER ADVICE
We recommend that our drivers follow these precautions when completing journeys, which are in line with the latest UK Government COVID-19 guidelines for the transport sector. While not mandatory, wearing a suitable face mask or covering is advised as long as it does not impair your ability to drive safely. To ensure proper ventilation, keep the car windows open whenever possible during trips.
You should clean your vehicle regularly using gloves and standard cleaning products, making sure to clean door handles and other areas that passengers may touch. Ask permission before loading or unloading Passenger Luggage; wash your hands and/or use disposable gloves as necessary.
Use tissues to cover coughs and sneezes, and dispose of them hygienically after leaving the vehicle. Maintain physical distance from your passenger and avoid handshakes. Regularly wash your hands with soap or use hand sanitiser, and refrain from touching your face.
15. As a Broker and or Agent, we may sub-contract and share journey details with other operators. Bus Hire UK reserves the right to subcontract a vehicle from another operator when necessary. All drivers instructed under Bus Hire UK to carry out work are fully insured and experienced and hold Full Operator Licences. The company’s vehicles may not be sub-let, lent or licensed by a hirer without the written consent of the company, and the company reserves the right to supply larger vehicles than ordered or even smaller vehicles to accommodate the total passengers. If the booked vehicle breaks down, we have the right to use any other vehicle or vehicle, including taxis. By placing a booking, YOU are confirming YOU are accepting this policy, and WE will not be held responsible for claims regarding this policy by YOU against the US or our SUPPLIER.
- A driver (contractor) holds responsibility for their vehicle during the hire period, and their decisions are final. They possess the authority to deny entry to anyone deemed a nuisance or unsuitable, and they may request such individuals to exit the vehicle before continuing the journey. Additionally, the driver reserves the right to halt the trip if they feel unsafe at any point. In such cases, no refunds will be issued to the client, and Bus Hire UK will not be liable for any actions taken.
16. If you miss your flight, it is your responsibility to inform Bus Hire UK immediately so we can instruct the driver not to proceed to the airport for pickup. For journeys that were pre-paid, the fare will be refunded after administrative charges are deducted. Should you decide to take a later flight, we can offer the service at a slightly increased cost. Failing to notify Bus Hire UK will result in the passenger or booker being liable for the full fare, with no refund available for pre-paid services. This will be considered a “No Show.”
The driver will wait in the arrivals hall for up to one hour after the flight lands. If the passenger does not meet the driver during this period or fails to contact us via phone, email, or SMS to update their status, it will be considered a no-show.
Bookings made online or by phone, secured with a credit or debit card and opting for cash payment to the driver, will incur the full fare charge in the event of a no-show. Pre-paid bookings with a credit or debit card are non-refundable in case of a no-show.
If you need to change your transfer timing after booking, additional charges may apply. Such changes can disrupt scheduled operations, requiring last-minute vehicle and driver arrangements, which incurs extra costs. A fair portion of this cost will be passed on to the client requesting the change.
Please be ready for pickup at the agreed time, as delays beyond 15 minutes may result in extra charges. It is crucial to follow the scheduled itinerary since drivers operate under strict time constraints. If lateness causes the driver to miss subsequent jobs and alternative arrangements cannot be made, the driver may leave, and no refund will be issued.
Ensure the vehicle remains clean, and passengers behave appropriately. Any damage to the vehicle will result in charges, and if the driver feels unsafe, they may terminate the journey, requiring you to arrange alternative transportation without a refund.
If the specified vehicle is unavailable, we reserve the right to provide a larger or smaller vehicle to accommodate all passengers. We may also offer a different branded vehicle if necessary at no extra cost. Unless a trailer is booked and paid for in advance with an additional fee of at least £40 each way, we reserve the right not to provide it on the transfer date if any situation arises. We will inform you if this occurs. Although we strive to send the vehicle of choice, situations like traffic delays or breakdowns can occur. Therefore, we cannot guarantee a specific type of vehicle or market our service as such, as our goal is to provide continuous service.
Your driver details will usually be provided 1-2 days before the journey. If you do not hear from us by then, please call us to request this.
17. Animals are prohibited on company vehicles, with the exception of guide dogs.
18. Alcoholic beverages are prohibited from being carried or consumed in the Company’s vehicles unless expressly permitted.
19. Smoking is allowed on the Company’s vehicles.
20. The consumption of fast food, including chips, pizzas, and burgers, is prohibited in the Company’s vehicles.
21. A driver may prevent passengers from bringing luggage or items deemed unsuitable for the Company’s vehicles. Heavy items, like suitcases, should be placed in the rear and side luggage compartments, ensuring that no items block the aisle or emergency exits.
22. When required, a different coach may transport a group back from their destination rather than the one that originally brought them. Additionally, coaches might be assigned other tasks during the waiting time at the destination unless the Hirer specifies beforehand that they want the coach to remain with their group, in which case an extra fee might apply.
23. The Hirer shall be responsible for any expenses related to road and bridge tolls, ferry fares, and parking charges.
24. A crucial element of the Contract of Hire is that full payment must be made prior to departure, unless an alternative arrangement is agreed upon.
25. In the event of a duplicate payment or an erroneous transaction made by card or bank transfer, a standard administrative fee of 22.5% of the total payment will be applied if a refund is necessary.
26. Notices – Displaying any bill, poster, or notice on a vehicle requires prior consent from Bus Hire UK.

CONDITIONS OF Bus Hire UK (the small print) PLEASE READ
- If the company provides child seats, the accompanying adult passenger has the sole discretion to use them and must ensure their suitability. The company cannot be held responsible for their use.
- Modifications by the customer to the specifications on the reverse side may incur additional charges.
- Neither the company nor the contractor shall be liable for unforeseen events causing delays, such as vehicle breakdowns, traffic congestion, or overruns from prior jobs. These incidents may be covered by your travel or holiday insurance. Please consult your travel agent for further details.
We are not responsible for any damages or compensation due to late arrivals, alternative transport arrangements, or missed tours and events.
- The Company assumes no responsibility for goods or belongings that are lost, stolen, or damaged while on the vehicle.
- Your driver can help with your luggage if necessary, but it is your responsibility to ensure it is securely loaded and unloaded. We are not liable for the safety or damage of luggage or belongings nor for any items left behind.
- While the driver will strive to ensure safe pick-up and drop-off locations, the company cannot be held liable for any injuries that may occur during boarding or disembarking.
- Please use seat belts if they are available in the vehicle. Failing to do so may invalidate any claims for injuries resulting from a road traffic accident.
- The driver holds complete control over the vehicle and is empowered to take necessary actions if they perceive any risk to the safety of the passengers or the vehicle.
- If any information on the reverse is incorrect, please notify us immediately. Not doing so may result in delays or the dispatch of the wrong vehicle. We cannot be held accountable if you fail to comply with this request.
- If we grant a request for a later pickup time for your airport journey, it will be entirely at your own risk. We cannot be held responsible for any delays in arriving at the airport.
- We accept payments via Credit/Debit Cards, Bank Transfers, and cheques. To secure your booking and reserve your vehicle, an advance deposit is necessary. You have the option to pay the full amount upfront or make a small deposit, with the remaining balance payable in cash to the driver on the day of your booking.
- By submitting a deposit or full payment, you acknowledge and agree to all our terms and conditions.
